What to know before you buy

  • It can only answer from what is written down. If your procedures live in people’s heads, write them down first.
  • Somebody still has to keep the documents current. Several vendors charge extra for tools that flag stale pages, which tells you how common the problem is.
  • The agent is often a tier above the cheapest plan. Check which plan includes it.
  • General work suites you may already pay for can do this job when pointed at your documents. Check those before buying a separate product.
  • In reviews, billing and refunds come up more than answer quality.

How real (from our first round of research)

These count because answering the question is the job, and the products answer with nobody involved. Price is where this job splits: 4 of the 21 publish no price, and one starts at $6,000 a year. Of the 15 we checked in the first round, 4 are general work suites pointed at your own content rather than purpose-built products, and one is a builder you assemble yourself. Only two publish that the thing answers without being asked each time, with lines about answering straightaway even without being triggered and auto-resolving 40 percent of routine issues.

Watch for

Answers are only as good as the written procedures, and nobody maintains them. Three vendors independently charge for a fix to exactly that problem, selling document health scores, stale-page reports, document verification workflows and unowned-content reports. Somebody in your business still has to keep the documents current. One newer company publishes its own timeline on its pricing page: months 2 to 6 to tune it, reaching 25 to 35 percent automation, for $6,000 a year.

What reviewers raise

Billing and refunds come up more than answer quality, followed by freezing and lag and slow email support.

What owners say

An owner asked other owners how to bring a new hire up to speed when most of what the business knows has never been written down. These products can only answer from documents you already have, so they help once the knowledge is written down, not before.

Questions to ask in the demo

  1. Does an AI do this, or does a rule? If the answer is “when X happens it sends Y”, you are buying automation, and it should not cost AI prices.
  2. Does it send, or does it draft? Ask for the sentence on their page that says it acts on its own.
  3. Does it do it on its own on this plan, or on the one above? The setting that lets it act without you is often a tier up from the entry price.
